The strongest proof is the free public one: your ABN showing as cancelled on ABN Lookup, with the cancellation date. Anyone can check it, which is exactly why Centrelink, banks and buyers accept it. Back it up with the confirmation the ABR gave you when you cancelled, and your final activity statement or tax return.
The three pieces of evidence, strongest first
- ABN Lookup showing "Cancelled" and the date. Public, free, independent of you, and printable. For most requests this is the whole answer. You can check it on our ABN checker or at ABN Lookup directly.
- The ABR's cancellation confirmation. You get this when the cancellation is lodged. If you used an agent, they will have it. Useful because it names you and the date in one document.
- Your final BAS and tax return. Slower, but it is the only evidence that shows the business stopped trading rather than simply stopped being registered. Some requests specifically want this.
What is it actually for?
Nearly every request comes from one of four places, and what satisfies them differs.
| Who is asking | What usually satisfies them |
|---|---|
| Centrelink | ABN Lookup showing cancelled, plus the date you ceased. They are establishing when your business income stopped |
| A lender or bank | ABN Lookup plus final financials or the last return, because they are assessing income, not just status |
| A buyer of the business | Cancellation confirmation and evidence lodgements are up to date |
| A landlord, insurer or licensing body | ABN Lookup is normally enough |
If you are not sure which they want, send the ABN Lookup record first. It is free, instant, and it answers most of them.
What if the ABN is still showing as active?
Then you do not have proof yet, and the fix is to cancel it properly rather than to explain it. The date matters here: you nominate the date you actually ceased, and it should be the date you genuinely stopped trading, not the date you got around to the paperwork.
Two things to know before you lodge:
- Outstanding lodgements do not disappear. Activity statements and returns remain due after cancellation, and a claim assessor asking for your final return will notice it is not there.
- Your business name is separate. It sits with ASIC and keeps renewing, and keeps charging you, until you deal with it there.
The full order of operations is in our guide on how to cancel an ABN.
If the ABR cancelled it for you
This happens more than people expect. The ABR runs a cancellation program aimed at ABNs it is confident are no longer being used, picking them up where business income has not been reported, lodgements are not up to date, you advised you stopped business in your latest return, or you lodged a final return.
The upside is that the ABN Lookup record is the same either way: cancelled, with a date. The catch is that the date is theirs, not yours, and it may not match when you actually stopped. If the date matters to whoever is asking, your final return is the document that shows when trading really ended.
One thing not to do
Do not keep using the old number while you sort the paperwork out. It is an offence to use an ABN after it has been cancelled, or to quote one that is not your own. If you are winding down and still issuing the occasional invoice, cancel when the invoicing genuinely stops, not before.
Common questions
What counts as proof that I have closed my business?
ABN Lookup showing your ABN as cancelled, with the cancellation date, is the strongest and easiest evidence because anyone can verify it independently. Support it with the ABR's cancellation confirmation and your final activity statement or tax return.
Will Centrelink accept an ABN Lookup printout?
It is normally what they are after, because it shows the status and the date from an independent public source. They may also ask when your business income actually stopped, which your final return evidences.
How long does it take for ABN Lookup to show cancelled?
Usually immediately once the cancellation is lodged. If it still shows active, the cancellation has not gone through, and that is what to fix before chasing evidence.
Can I get proof if the ATO cancelled my ABN rather than me?
Yes, the ABN Lookup record is the same either way. The difference is the date, which will be the date the ABR acted rather than the date you stopped trading. Where the date matters, your final return is what shows when trading actually ended.
Does cancelling my ABN close my business name too?
No. Business names are registered with ASIC and survive the ABN being cancelled, renewing and charging you until you cancel them separately. A business name also cannot be held without a linked ABN.
I still have outstanding tax returns. Can I still cancel?
You can lodge the cancellation, but it does not clear the obligations, and anyone asking for evidence of closure may well ask for the final return. Lodge what is outstanding first.
